Who we are
Clinix Media is a marketing and patient acquisition agency working with dental, aesthetic and private healthcare clinics in the United Kingdom. We operate from South Africa. We are the data controller for the personal data described here — meaning we decide what gets collected and why.

What we collect
Two things, and only when you hand them over.
When you book a call or send an enquiry
- Your first and last name
- Email address and phone number
- Your clinic’s name and what kind of clinic it is
- Your current monthly marketing spend, if you tell us
- Whatever you write in the message field
If you accept cookies
Google Analytics and the Meta (Facebook) advertising pixel record which pages you viewed, what you did on them, and general technical details such as your browser, device and approximate location derived from your IP address. We use them to see which pages are read and whether our advertising actually works.
Nothing else is collected. There are no accounts on this site, we take no payments through it, and we never ask you for patient data.
Why we use it, and our lawful basis
- To reply to you and arrange the call — because you asked us to. Lawful basis: taking steps at your request before entering a contract.
- To follow up about our services — lawful basis: legitimate interests. You enquired about marketing services and we have a genuine interest in responding properly. Tell us to stop and we stop.
- To measure our advertising — lawful basis: your consent, given through the cookie banner.
Cookies
No non-essential cookies are set unless you accept them. The banner isn’t decoration: declining prevents the tracking code from loading at all, rather than loading it and quietly setting a flag.
- Google Analytics — which pages get read. Loads only if you accept.
- Meta pixel — advertising measurement. Loads only if you accept.
- Your cookie choice — stored in your own browser under
clinix-consent. It never leaves your device and is never sent to us.

Who else sees it
We do not sell personal data and never will. We share it with two processors, both bound to use it only on our instructions:
- HighLevel Inc. — the CRM that stores enquiries and bookings and sends our follow-up messages.
- Google Ireland Ltd. — analytics, only if you accepted cookies.
- Meta Platforms Ireland Ltd. — advertising measurement, only if you accepted cookies.
We would also disclose data where the law requires it. That is the whole list.
Where your data goes
Your data is processed outside the United Kingdom. We operate from South Africa, and our CRM provider is based in the United States. Where UK data protection law applies to those transfers, they rely on its approved safeguards — the International Data Transfer Agreement or Addendum, or an adequacy decision where one applies.
South African law also applies to us as the controller, under the Protection of Personal Information Act (POPIA).
How long we keep it
- Enquiries that don’t become clients — 24 months from your last contact with us, then deleted.
- Clients — for the length of the engagement, then six years, which is how long UK tax and accounting rules require us to keep records.
Your rights
Under UK data protection law you can ask us to:
- Give you a copy of the data we hold about you
- Correct anything that’s wrong
- Delete it
- Restrict or object to how we use it
- Send it to you, or to someone else, in a portable format
- Stop using it for marketing — no reason needed, and we act immediately
Where we rely on consent you can withdraw it whenever you like. That doesn’t undo anything done beforehand, but it stops everything after.

Complaints
If you think we’ve mishandled your data, tell us first and we’ll try to put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Changes to this policy
If we change how we handle personal data we’ll update this page and change the date at the top. Material changes affecting people who have already contacted us will be sent by email rather than quietly published here.
